I wrote these instructions (attached PDF) for users that wish to handle their emails as I do:
Use Outlook as mail app
Download emails to IMAP Gmail account Inbox
Move emails I wish to keep to my Outlook Data file (.pst) which is stored on my HDD.
Delete the emails I don’t want to keep and all copies of emails that I kept from the Gmail server so none of my emails are stored on the server.
If you don’t fit this specific setup then this procedure is NOT for you.
This is not anti-IMAP by not keeping my emails on the server, but a logical adaption for an individual user that has very little need to keep copies of emails on the server. I enjoy IMAP protocol and like being able to check my emails via my phone, leave the emails on the server, download the emails when at home on my main PC with Outlook, and then delete all copies of that email from the Gmail server.
This setup and procedure works for my Outlook 2019 on my Windows 10 Home 22H2 and should work for other versions. Also, the typical legal disclaimer that if you follow these directions and advice you do so at your own risk.
