• Selectable options in MS Word

    Hello, I am looking for a way to insert a customisable selection box which users can click to select one of a number of different clauses. It is for a Transfer Deed in conveyancing and i need a way to alter the signature clause at the end where there is either a individual, company or some other entity needing to sign. The wording for each is different so a selection box or some kind of drop down menu would be ideal.

      Tom,

      One way to accomplish this is through AutoCorrect. I setup an entry called MySign so that when I type that it places my signature block at the cursor position.

      I found the easiest way to set this up is:

      1. Open a blank document.
      2. Type and format the block as desired.
      3. Highlight and Copy the block.
      4. Goto File -> Options -> Proofing -> AutoCorrect Options.
      5. Your block should already show up in the the Replace text as you type With block with the Formatted text button selected.
      6. Just type your block name in the Replace space.
      7. Click the Add button.
      8. Click the OK button.
      9. Done.

      So you just need to setup a separate entry for each of your signature blocks and give the appropriate names. Make sure the assigned names are NOT something that would be normally typed!

      The instructions I give are based upon Word 2019, but should be similar in other versions.

      For the Drop down box:
      The Developer tab must be available in the control ribbon (turned on in Word Options – ask if you don’t know how)
      Place the cursor in the Word document where you want the drop down box located.
      On the Developer tab, in the Controls group select the Drop-Down List Content Control icon. If you hold the mouse pointer over each icon it will identify the icon which is in the middle of all the icons of that group.
      This will place a special box with the text Choose an item. This is the drop down box.
      To add your choices to the drop-down list or edit the list you first must be in Design mode. In the same Controls group of the Developer tab click the Design Mode icon. When selected Design Mode will be highlighted in a gray box and the shape of the Drop-Down box will change.
      With the Design Mode active place the pointer over the Drop-Down box and right click…select Properties. This Properties of the drop-down box is where you Add the choices one at a time, delete, or adjust the order in which the choices appear. When finished adding your choices click OK to close the Properties box.
      You must click the Design Mode button to turn off the Design mod which will make the drop-down list active for selection and use.

      For the Different signature phrases I would use Quick Parts:

        Thank you for your replies.

        I have used the developer tool to create the drop down menu but i cannot seem to add the F3 command in the drop down quickparts selection. Am I understanding corectly that I set up the quick parts for all my individual clauses then insert those into the properties of the developer mode drop down list? Apologies for being a bit dense.

          The drop-down list only allows a small number of characters, nor graphics or signature line and it depends on how long the signature clause is if it will fit. This is why I suggested the Quick Parts for the signature clause as Quick parts allows many characters as well as graphics such as lines for the signature. If the signature clause is less than 256 characters (spaces and other punctuation count as characters) you could put a drop-down list below a signature line of the different signature clauses. This would be a separate drop-down list from the different causes of your first drop-down list.

          Sorry for the F3 to quickly insert Quick Parts. I wrote those instructions long ago for a different version of Word where the F3 was a keyboard shortcut for Quick Parts. On newer versions of Word the keyboard shortcut is Alt + N, Q (press and hold the Alt key and then press the N key, release both keys and press the Q key once)

          Are you using these drop down and signature blocks to create the document someone else will sign or you want someone else to select the drop down and insert the Quick parts?
