    People in our organization are finding that when passing a document back and forth between each other, that the styles have become style + something else. How do we prevent this from happening? We only want styles in our template to be used, like in 2000.

      Starting in version 2002, Word now tracks the formatting, which means it is identifying ‘direct formatting’ placed on a paragraph with a style. If you see the + sign next to any style name, someone has placed formatting on that paragraph without actually updating the style. This may cause problems in the future; however, if you do not want to see this ‘tracking’, you can turn it off by unchecking the option, Keep track of formatting, under Tools, Options, and the Edit tab.

        Thank you so much. Of course, it’s a little checkbox problem! So now that the damage has been done to some of our documents, is there any way to undo this?

          It becomes a ‘training issue’… sometimes I will encourage users to leave this option on so they realize when they are directly formatting on a style. It is sad, but true, that 75% of Word users do not realize that everything they type is being directly formatting on the Normal style. If the document becomes very large, it could become corrupt eventually. If it is not important for a document to be ‘fixed’, leave it… it’s too much work. Otherwise, any documents you find that are imperative to follow the styles, you will need to strip the direct formatting off by using Ctrl+Q (for paragraphs) or Ctrl+Spacebar (for fonts). You could select all, Ctrl+A and use these key combinations, but it may really mess the document up… good luck… trish

          I’m not 100% sure, but if you search for posts with the phrase “char char” in them, you might find some fixer-upper macros to conform the deviant styles back to the original one.
