Auto Delete old mail

For email retention, we’d love to automatically delete any message that is contained in the OUtlook Inbox, Outbox, Sent Items or Deleted items that is older than 3 months. However, we’d like to implement this in some automated format, at the system level, instead of asking users to do this. Does anyone know of any way that we can do this? I’m stumped. Thanks for your help.

have you looked at archiving yet? it should do exactly what you need.

Autoarchiving appears to perform what we want except that we need to manually select each folder on each user. And then the user COULD override it if they wished. I guess I need to investigate the CLEAN utility on Exchange but I”m fearful that it will clean all folders and if the emails are moved to another folder, I don’t wish them to be touched. But thanks for the tips and I’ll check futher.

look at exmerge too. it can clean mailboxes based on rules, but the admin needs to do it. good news is, they can do every mailbox at once.
you might want to consider archiving software since you are using exchange server. several programs exist including emailXtend. see exchange.devx.com for more similar programs.

I’ve been investigating the options and have found little info on Microsoft’s site re the Cleanup mailbox utility. The link to the technet article is dead and we do not subscribe to the technet cds. Just please confirm. When i run cleanup, i can run it on one mailbox at a time, correct? And I didn’t have much luck finding emailXtend on the devx site. And I assume that exmerge also comes on the technet cds? Or on a Backoffice edition? Please advise and thanks for all you’ve directed me towards already!

exmerge should be in the exchange sdk – i seem to recall a clean up utility on the back office sdk. i guess if you don’t have technet you also don’t have msdn? those utilites might be online, in hte subscriber section, if you can’t find the cd.
