When you change a phone number, the phone company has a forward for several months of the new number. I have a user that has moved on, and would like to have the NDR say Joe’s new email is: xxx@yyy.com. From looking at HELP, it would be in ALL NDRs not just Joe’s. Or is the solution to lock his account but activate a Rule Forward to all mail coming in. He needs to be locked out, but I would like to reject his mail with a friendlier “He isn’t here” message.

AskWoody PlusJanuary 23, 2004 at 3:29 pm #773050The software is SBS2000 (Exchange 2000) and I want to send a message to everyone (every time) for about a month, saying Joe’s new email address is: xxx@yyy.com. At the same time, Joe needs to be prevented from using his account. (Disable account will generate NDR – user not found, right?) so I’m leaning to change pwd and put wizard in to auto-reply to all email. Out-of-office just sends a reply on the first email (which probably would be okay). I was just wanting to see how real admins would handle this.

Personally, I leave the NDRs as they are, disable the users account and give ownership of the mailbox to a manager for a few days. Then, I turn off the mailbox and let the NDRs bounce back for a few mroe days. Then I remove the mailbox and add the user’s STMP mail address to a public folder with a very short lifetime, so spam and newsletters just get “swallowed” (but are there for a bit of time)
