    Hello,

I have searched the archives but could not find any relevant posts.

We have an MSAccess 2007 database of families. We have figured out how to email each family’s own data (Surname, address, home phone etc) to that family based on the email address in the database. We can also receive their replies and update the Family record.

Our problem is in trying to update the individuals. They are in a table called Person. Often the individuals in a family share an email address. When we try to send an update form (for example to a family of 6 persons) only one email is sent showing only the first person’s data (First name, mobile etc).

Is there any way to make it send 1 email per database record?

    Thank you,
    Judith

I think we need to know more about the structure of the database. How do you record families and family membership?

Would it be possible to post a cut back version of the db with just a little bit of dummy data?

      Thank you for your reply.
I had to rename the sample database as a txt file to get it to upload.

Under 2007, sending update form for qryFamily produces 2 emails as required.
Sending update form for qryPerson only produces 3 files, one to each of the different email addresses, but we want one email per person (5 emails).

Does this make the problem clearer?

      Thanks in advance,
      Judith

Running qryPerson produces 5 records, what am i missing here?

I get the same result as Patt – is it possible that at some point you ran the query and only returned the email address and had the Unique Values property turned on?

Also, if you want to upload another database, ZIP it first so the size is considerably smaller and then it will upload nicely.

Sorry I was not clear about which feature we are using.

We are trying to send each person his or her own details so that they can be updated. We are using the new feature in 2007 to “Collect data by using e-mail messages”. This feature allows us to send an update form created from each record in a table or query to the email address stored in that record.
So far, so good. It works perfectly for the Family table and qryFamily. 2 emails are produced; one for each record. We can send these emails and their replies can update the table.

The problem arises with the table Person and the query qryPerson. Only 3 emails are generated to the three discrete email addresses; we need to send 5 emails, one for each person, not one for each email address. This means that we cannot update 2 of the 3 people who have the same email address.

Thanks again for your time and effort.

      Judith
