• Page Breaks (Excel 2003)

I hope I can articulate this the way it is intended (Maybe it’s why I couldn’t find anything in the MSKB)

I have a report in Crystal that I export as Excel. (Client doesn’t have Crystal and prefers Excel anyway)

When I open the (100 page) report in Page Break Preview, it is “off”. So I have to manually manipulate
every page to fit. Each page brerak is moved ‘up’ the same amount of spaces to just under the footer.

Is there a way to just move the first page break line and have all subsequent page break lines move ‘up’ the same? I would love to do it one time instead of 100.

    I appreciate any assistance.

    Sincerely,
    Michael

I don’t think you can do this interactively. It might be possible to write a macro to do it.

Thanks Hans – I was just hoping………… shrug

If you’d like to have a macro solution, you could attach a sample workbook (with dummy data if the real ones are sensitive).

That is a wonderful offer Hans – I think I should try it on my own first – good learning experience.
            If I need a nudge, I will re-post !

            Thank you very much Hans.

Just thought I’d chip this in…

If I create a dummy report in a new Excel sheet by entering numbers say, 1 to 1000 in column A, setting the print range to a1:h1000, and then previeving in Page Break Preview, then the page breaks I ‘see’ are dependant on the paper size selected for printing.
Changing the paper size from A4 to letter for example will cause the page breaks to adjust.
Is it just something like that??
Or does your report have ‘hard page breaks’ inserted?

It’s a report run in Business Objects as a Crystal Report. I do an export and “Save As” in Excel.

When I open the report that I saved in Excel, it defaults to Portrait, 100%, Letter

I change the format to Landscape and Fit to 1 X 100 pages.

Then I go into Page Break Preview and I have to manually move up every page break line.

I think if I record a macro it should work.

        Thanks zeddy !!

          Hi,

As well as adjusting page size you could try playing with the bottom or top margins (File, Page Setup, Margins) – try increasing the bottom margin by half an inch or 1 cm metric and see whether that makes any difference. With a little fiddling you may be able to get a suitable size.

          Good Luck!

          Hi Michael,

If your report consists of data that are output to rows that are all of the same height, you might find that shortening all the row heights just a bit is all you need to get evrything to fit – without having to delete any lines. Usually, you can trim a bit off without clipping any characters. If characters do get clipped doing this, you could reduce the point size by 0.5pt.

          Cheers,
