• Schedule archiving in Outlook 2013

    Hello People,

    I am having some issues with my Outlook 2013 these days. In fact, I had like to archive my emails more often because my inbox size is increasing rapidly due to the total no. of mails I have been receiving these past weeks. Is there an option in Outlook that allows you to do so? Your help is much appreciated.

      Hi Clyde,

      Yes, you can tweak MS Outlook settings in order to archive your emails more frequently. Here’s how:

      1. Go to File tab, and then click on Options.
      2. A new windows will open. Click on Advanced and under the label Autoarchive, click on the button ‘Autoarchive settings’.
      3. The autoArchive window will open where you can tweak how frequently your emails will be archived.

      Be careful that you don’t max out your archive due to the increased amount of mail going into it. If you do, it will either quit taking further emails, or it will get corrupted.

      I ended up increasing the maximum size of the archive to around 50 GB. This was slightly smaller than the recommended safe maximum, but it was far bigger than the previous limit, thereby allowing far more emails to be stored in it.

      It would be a good idea to regularly make a copy of the archive file onto a backup drive, so that if the archive gets corrupted, you will be able to recover all but the newest emails.

      Can I suggest a more proactive, and customizable approach to archival? Manage your Outlook items using Rules.

      If you receive a lot of messages, and need to keep them for future referral, managing them via Rules would allow you to categorize and file them according to parameters you set. Using this in conjunction with Archival, is sometimes the best way to manage large numbers of Outlook items.
