I haven’t done a lot of Word work since I retired a few years ago and I am struggling a bit with Word 2010 and some of the more, in my opinion, esoteric aspects of of creating a template from a Word document. I am trying to create a template to use to prepare minutes for a Board that I am a member of. I remember that I used to be able to create something, which I think was called a “macro-button” – maybe it was a “field-button’, can’t remember, anyway, I remember that I could “click on” this feature and then enter data of my choice. For example, I want to create something where I can just click on it and enter the date of the meeting – I don’t think I can use a DATE field for this purpose because the date I want to type into the “field area” is not necessarily today’s date or any other “relevant” date. If I remember correctly, these features were bound by closed braces – {…} – and contained instructions as to what to do or what to enter into the field, e.g., {Click here and enter the meeting date} and there was the ability to provide a format for the entry as well. I have poured through my copy of the Word 2010 Bible and cannot find what I am looking for, so maybe someone can point me in the right direction on this one.

I currently have a document (docx) set up with the outline of the format that I want to use, including some very specific formats for lists and related things – not sure how that is going to work yet, because I have yet to get lists to work properly – they seem to have a mind of their own – any secrets on dealing with these – references? – anyway, to continue, I will eventually want to save this document as a “dotm” (I think) and I am at a bit of a loss as to how to convert this docx document to a “dotm” document. Where does Word store templates, and how do I get this new template back for my next set of minutes?

These are my questions for now and any help or insight that anyone would care to provide will be greatly appreciated Thanks.

To save your doc as a template, do a Save As and select the .dotm format (macro-enabled template).

There are lots of interesting things you can do with fields and dates, including date calculations.

Is there some reason why you don’t just want to enter the date manually in the document? Knowing the reason will make it easier to help you figure out a solution.

Thanks for the “Save As” insight. As far as the date goes, things like the meeting date can be any day of the month, so as I see it, right now, it is a lot easier for me to simply have a field where I can enter the meeting date without having to worry about Word doing wierd and wonderful things with it. I will also want to have these “fields” where I can simply type in names, for example, in the Section on Approval of the previous minutes. I have a pre-typed line Moved by (Name) and Seconded by: (Name). Carried. I want to have something that simply lets me “click on” the (Name) and enter the person’s name, like entering data into a form, not that I want to turn this template into a form mind you – I simply want to simplify some of the routine “data entering” that I have to do by having preset “fields” that I can “click-on” and enter the relevant data into – will not always be a date, but could be names, places, etc. Does this explanation help – it has been so long since I have done any serious Word stuff that my memory is very fuzzy on some of the more advanced features – I know that I used to be able to do certain things, I have just forgotten how – that’s all

Another reason for having these “fields” is it gives me a flag of sorts so that I do not forget to enter certain specific data – HTH.

If you are saving the template in the new formats .dotm or dotx then I would suggest using a Date Content Control

      Go the Insert>Quick Parts>Document Property>Publish Date

This creates a dropdown calendar where you can select a date. To change the date format that appears, you need to first show your Developer Tab and then, with the Content Control selected go to Developer>Properties

The benefit of this approach is you can insert the same CC into other places in your template eg footer and choose to format it differently. When the date is changed in either location the other location updates instantly.

Andrew, thanks for the insight – Data Content Control is something that is completely new to me, so I will have to think this out to understand it better – don’t like using something I don’t understand, because I can’t fix it if it doesn’t work. I think I have found what I am looking for and I apologize if I got everyone thinking only about “dates” – it wasn’t really what I was after, for the most part. I did some more “research” and found that what I think I am looking for is the field construct something like – {Macrobutton Nomacro [Click and Enter Name here]}, together with ASK and FILLIN fields. I still have to figure out exactly how the last two work, but it would appear that I may have answered my own question after thinking a bit more about Jessica’s response. I am always amazed about how posting questions/situations often gets me thinking a bit more about things. Now if someone could help me figure out where Word keeps the document templates and how I would invoke this one as it is not the Normal template.

To go to the folder where the user templates are located by default, copy the following string and paste it into the address bar in Windows Explorer

      %appdata%/Microsoft/Templates

To create a new document from any template in that folder …
      File>New>My Templates

Thanks Andrew – worked like a charm.

See MacroButtons – not just for macros. Remember if you are trying to insert the field by typing rather than going through the Insert > Quick Parts > Field > Macrobutton process, you need to insert the braces { } with the Ctrl-F9 key combination, you can’t just type them on the keyboard.

Thanks Charles, figured that one out – everything is now working the way I was hoping it would.
