Where is PasteFormat?

Hi everyone,

I recently changed companies. The new company uses an Authoring add-in that has hijacked all of my favorite keyboard shortcuts (I’m a big keyboard user…or was!). I’m reduced to creating QuickAccess buttons for my favorite commands.

Right now I’m looking for the PasteFormat command. I can’t find it anywhere on the list–when I look under “All commands” it’s not shown as “PasteFormat”, and “FormatPainter” won’t work for my needs (all it does is copy…I need the paste!)

Does anyone know how this command is listed?

[*]Select the text whose format you wish to copy.
[*]Click once on the Format Painter button. Note that the cursor changes to an I-beam plus paint brush icon.
[*]Select any text you wish to apply the format to, and release the mouse.

This works in Word 2007.

Do you mean the “Paste Unformatted” command, if so it’s under Paste > Paste Special > Unformatted Text.

I totally understand wanting to use keystrokes instead of mouse clicks! Normally, you would use the following (as Terry was indicating):

Control + Shift + C will copy format
Control + Shift + V will paste format

When I go into the options for adding items to the Quick Access toolbar, I cannot see anything that references the PasteFormat command. However, when I choose the button there to Customize the Keyboard shortcuts, I find the PasteFormat command listed under All Commands.

Just to confirm… is this where you are indicating you cannot find the PasteFormat command?

Yes, that works most of the time. However, the formatting I’m copying needs to be applied to multiple tables. When I do a “Ctrl + PgDn” to jump to the next table, the button is turned off and I “lose” the copied formatting. That’s when I need the Ctrl + Shift + V, but it’s been hijacked (see above).

Richelle, you’ve run into my exact problem. I can add it to my keyboard shortcuts, but it’s not working. Thus, I’d like to have a button to paste the copied formatting, but I can’t find the command in the QuickAccess toolbar commands.

In Word 2003 if you double click the FormatPainter button twice, it will stay depressed and you can copy over and over. Does this not work anymore?

I sympathize completely with your preference for keyboard over mouse.

I haven’t been able to find it either. Are you sure the “Format Painter” won’t do the trick for you. Select a sample of the text with the formatting you want to copy. Click on the format painter icon (the paintbrush), then select the text you want to apply the formatting to. If you double click the tool it stays selected and you can apply the formatting to multiple separate locations in the doc, use key to cancel painter. You can find it in the QAT, Choose commands from: Home tab, “Format Painter”

MS has created several tools to help the migration from 2003 menu to 2007/2010 ribbons. One tool is a set of applets (flash or silverlight) that allow you to click on a command in a 2003 menu then the applet displays the 2007 or 2010 ribbon and locates the matching command. They have online and download versions of these applets. I prefer the downloaded ones to reduce internet access.

The other tool is a set of spreadsheets that does the same thing in text form.

Don’t forget, you can “highjack” the shortcuts back. At the bottom of the “Customize Quick Access Toolbar …” dialog there is a “Keyboard shortcuts: Customize” button. It displays a dialog. Select the command and apply the shortcut you want. It will show other commands, such as the add-in, that use your desired shortcut. Then you can confirm your selection and be back to normal.

In that dialog, you could also try the “Reset all…” button to reset to default all shortcuts. That may disable the “highjacking” done by the addin, I have’t tried it myself.

If you want to put Apply Format on the QAT, look at “Commands not in the Ribbon” and locate “Apply Style.”

If you simply place your cursor into a paragraph and use Ctrl+Shift+C to copy format, then place your cursor in another paragraph and click Apply Style, you will copy the style of the first paragraph to the second. If you place your cursor in a word of the second paragraph, you will apply any direct formatting from the first paragraph onto that word as well as copy the style.

If you select some of the text in the original paragraph, press Ctrl+Shift+C, then place your cursor in another paragraph and click Apply Style, you will copy the format only. If you select text in the second paragraph, you will apply formatting only to the selected text. If you select the entire second paragraph, you will apply both the style and the formatting.

If you select the entire original paragraph, pless Ctrl+Shift+C, then place your cursor in another paragraph and click Apply Style, you will copy the style only. If you select some text, you will apply format only. If you select the entire second paragraph, you will apply both the style and any direct formatting.

You might want to experiment to see how this works in practice.
