Outlook 2019 Folder List Problem

After a recent seriously bad experience with downloading and installing OneDrive, and finally repairing most of the issues created when I uninstalled it, I’m currently left with one Outlook 2019 issue which is more of an inconvenience than a fatal problem. My Outlook home page currently displays two sections in the folder list at the left side of the screen. One is labeled as “Outlook” and the other as “xxxx@verizon.net” which is of course my email address. See attached screen shot. The problem is that all current activity: receipts, drafts, deletes, sent, and outbox items are going to folders on the second list while all saved emails are contained in the Action Required, Awaiting Reply, Deliveries Pending and Don’s Saved folders in the first list. I would really prefer to have only one list that contains both current and saved emails. I don’t care which list, and if they can be combined, I’d like to delete the other list.

I hope someone can advise if my wishes are possible and, if so, how I might accomplish it.

Hi Don,
I’ll be happy to help.
Side note: in the future, when you take a screenshot with personal info like your email address, open it in Paint and use the eraser tool to remove the email address, then save that to post here.

First we need to see what kind of account the verizon.net is.
With Outlook open click File at the top to bring up that page.
At the top und Account Information there is a box that has your accounts listed.
Click the dropdown arrow on the right of the box to show all accounts.
Under each account or email address there will be letters indicating the type of account such as IMAP/SMTP.

I suspect that the Outlook is just a .pst data file and the verizon.net is an IMAP/SMTP.

Post back what you find.

I found only one account listed and it is POP/SMTP. I tried IMAP in the past and hated it. BTW, I didn’t receive an email that you had posted a reply to this thread. I wonder if I failed to check the box or if there is another problem?

BTW, thanks again for helping me with the Word saving problem. On that subject, there is still a minor issue. Can you give me some additional help on that? If so, how is the best way to get started?

Hi Don,

POP3 is great and will make moving the folders easy.
The Outlook account at the top of the left pane in your screenshot is an Outlook data file and not an account with an email address. Since both are .pst files you can easily move the folders of emails in the Outlook data file to your Verizon account listed below the Outlook data.
I assume all the emails saved in the Outlook data file are in the folder labeled Don’s Saved.
Place the mouse pointer on this Don’s Saved folder and right click. Select Move Folder from the context menu.
This will open a Move Folder window which look like a mini version of the folders in the left pane of Outlook.
Scroll thru the list of folders and select your email address @verizon.net. Once selected that email address will be highlighted. Click the OK button.
Depending upon how many emails you have, this may take a few minutes.
Once finished the Don’s Saved folder and all the emails that were in it are now in the Verizon account data file.

Once finished, search all the folders in the Outlook data file to be sure that you moved all you wanted.

If all that goes well, post back and I’ll tell you how to get rid of that Outlook data file now that it is empty.

As far as help with more Word problems, I’ll be happy to help. Post the problem as a new topic in the same forum you posted your last Word problem.

This entire process went flawlessly. I also used the same process to move three empty folders: Action Required, Awaiting Reply and Deliveries Pending. No problem. Let’s proceed to deleting the Outlook folder.

Sorry about posting atachment with my email address. Never occurred to me that it was a problem. I’ll try to remember fot the future!

In Outlook Select the File button at the top left of the Outlook window.
It will open to the Info tab

Followed your instructions, until I got to removing the data file reference. There are only two locations listed: Outlook (default location) and the one containing my email address. The issue is that its path contains \OneDrive\, an apparent holdover from that fiasco. Could I possibly need to add another location path to the folder we need to specify and then make it the default before deleting the existing two locations?

No, don’t remove anything yet.
Highlight your email address data file listed (the one with OneDrive in the Path)
Click Open File Location button above.
This will open File Explorer to where the .pst file for your email address is kept (in a OneDrive folder)
Go back to Outlook and close it down. Outlook Must be closed so we can move that file.
After Outlook is closed, select that File Explorer window that is opened to the location of that email address .pst file.
Right click this email address .pst file and select Copy.
Now go to your Documents folder at
C:\Users\Don & Lulu\Documents
Right click a blank area and select Paste.
This may take a while depending upon how large the file is.
When finished that emailaddress .pst file will be in your C:\Users\Don & Lulu\Documents folder. Remember this.
Go back to the emailaddress .pst file you copied that was in the OneDrive folder. Right click this file and select Rename. Change the name to Movedemailaddress.pst and press the Enter key.
Now the .pst file that was in the OneDrive folder has a new name and Outlook won’t open that .pst file because the name was changed.

Open Outlook
Don’t worry if it starts giving you error messages because it can’t find the account we moved.
Click File. Click the Account Settings to open the Account settings window as you did before. Click the Data Files tab.
Click the Add button which will open an File Explorer type window for you to go to and select the .pst file to open. This Explorer window usually opens to C:\Users\Don & Lulu\Documents and if there is an Outlook Files folder to that. Go to C:\Users\Don & Lulu\Documents where you placed that copy of your .pst file and select it which will open it and all the emails you have saved in that file.
Close the Accounts Settings window. Your email address account and folders should be in the left pane like they were before.
If all OK, open the Accounts Settings window and Remove the old emailaddress data file with the OneDrive in the Path. You can Remove the other Outlook data file now as well.
Close and open Outlook a couple times to make sure all is OK.

I need some additional info before proceeding with your last instructions. There are three entries in the Outlook Files folder in the path containing OneDrive. One is 25,313 KB (which I believe is where the data is located) and the other two, including the one named with just my email address, are only 256 KB. I’m not clear on which of these to copy from your instructions. I don’t want to make a mistake and end up deleting the wrong one and losing the data. Can you clarify the first copy step?

Look at the names of the files. They will be slightly different in the names from each other. You want the one that matches the one listed in Outlook as the data file you are connected to. That being said the file with 25,313 KB size will have emails in it, but a file 256 KB will not have email in it. The file with 25,313 KB is the file to copy, but make sure it has the same name as the file listed in Outlook.

I really apologize, but I’m still massively confused. I know I’m wasting too much of your time for what probably should be a simple process. Here’s a summary of what I’m seeing on my PC.

Perhaps this helps to explain my confusion! Do you think it might be a good idea to start by deleting the Outlook files that are not needed? If so, which ones might they be and how do we delete them? This MIGHT simplify things.

#1) Your copies of the Windows Explorer paths does not show the path to:
C:\Users\Don & Lulu\OneDrive\Documents\Outlook Files\email address – Outlook (Don).pst
which is where the emails in Outlook are. After highlighting that data file and clicking the Open file Location did it that take you to that OneDrive folder? Did you copy that .pst above and paste into the C:\Users\Don & Lulu\Documents folder or did you paste in the C:\Users\Don & Lulu\Documents\Outlook Files folder and if so which one.

#2) This PC>Local Disk (C:)>Users>Don & Lulu>Documents>Outlook Files is the same path address as This PC>Documents>Outlook Files so I assume

Before we delete anything, we need to see if there are any emails in the files you want.
The Email address – Outlook (Don).pst (27,793 KB) and the Outlook.pst (31,761 KB)
files have emails in them.

The names of these two different .pst may be different or are they exactly the same only stored in different folders. You need to know the exact name and location of these files as you will need to find these files in a File Explorer window that will open in Outlook to load these data files.

Open Outlook and open the Account Settings to Data Files. Click to Add a data file and use the Explorer window to go to this Email address – Outlook (Don).pst (27,793 KB) file and select it . After it this data file has been added, Add the data file at C:\Users\Don & Lulu\Documents\Outlook Files #2 folder. With both files in Outlook, open folders and see if there are any emails you need to transfer from the file in Outlook Files #2 folder (the second one you entered) to the data file from the C:\Users\Don & Lulu\Documents\Outlook Files folder. The goal is to have all the emails moved to this one C:\Users\Don & Lulu\Documents\Outlook Files pst file.

After you have all your emails in just the one .pst file (the .bak files don’t count) we will delete files and clean up.
let me know when you have all the emails in the one file.

Already stuck on #1. Using File Explorer, navigated the path you specified which included OneDrive. Highlighted the file but don’t know how to “Open file location.” Don’t see an icon or button for that. Need more instructions.

The “Open file location” is in Outlook in the Account Settings window on the Data Files tab. see the image in the post above #post-2629030
What I want you to do is in Outlook open the Account Settings window and select the Data Files tab. Highlight the emailaddress@verison.net and while this is highlight press the “Open file location” button. This would open an Explorer window and show you exactly where that .pst folder is located. You need to know exactly where That .pst file is. Pressing that “Open file location” button was just to show you where it exactly is since you have so many .pst files.

After you know where that .pst file is (should be C:\Users\Don & Lulu\OneDrive\Documents\Outlook Files from what’s listed in Outlook.

Next, close Outlook
Open Explorer and go to the email address – Outlook (Don).pst right click and Copy the file.
Go to C:\Users\Don & Lulu\Documents\Outlook Files right click and Paste.
Now a copy of that .pst file is in that folder.

Did you do this? Can you go to C:\Users\Don & Lulu\Documents\Outlook Files and see the .pst you pasted there?

Once you have that accomplished you get to my last post which was a little too much info.

Post back when are sure you copied and pasted that .pst file into your User Documents folder, which by what you post you may have done, but I want to be sure before we proceed.

The next steps is to open those .pst files In Outlook as Outlook is the only app you have that will open those files. Once opened in Outlook you can move emails from the other Outlook data files and consolidate all your emails into one .pst file. Then we can delete the rest to avoid future confusion. We will take these steps one at a time.

This will load the data file for your emailaddress@verison.net account.
Closed Outlook down and reopen to make sure this move still keeps your account working and receiving emails before we proceed to the next step.

Ran into another problem. I added the proper .pst file to Data Files and made it the default. You didn’t specify this step, but I thought it should be done. Then clicked OK. Closed Outlook and reopened. Folder list “my email address” looks OK and expected folder contents are there. However, cannot receive email. Get send receive error message that Outlook Data File cannot be accessed. Don’t understand what went wrong?

My folder list also has two other entries:

Another “my email address”  but clicking it results in an error message “Cannot expand the folder. This set of folderss cannot be opened. The file C:\users\don & lulu\OneDrive\Documents\Outlook Files\my email address – Outlook (Don).pst cannot be found.” This does NOT seem to be a problem, assuming we can eventually delete this folder list item.

“Outlook” which has several folders under it, all of which are empty. Assume we’ll be able to eventaully delete this as well.

No need to make it default. I had you add that data file to the list to make sure Outlook would accept an addition to your User Documents folder after all the problems before.

Go back into the Accounts Settings Data File tab, make the old emailaddress@version data file the default again.
Then highlight the new Data File (to the copied .pst file) that you had added, and click Remove.
We don’t want that file in the list for the next step.

Now we tell Outlook that we moved the .pst file for that account.

There are two ways to do this. Let’s try the easy way first
In Outlook, open Account Settings window to Data Files tab and click the old email address account that had the OneDrive in the Path to cause that error message to appear again.
When the error message that it can’t find the Data file pops up, click the OK button which should open an Explorer window to go to where that file is. Go to where you placed the copy of that file (C:\Users\Don & Lulu\Documents\Outlook Files) and select that copied .pst file.
After the Explorer window has closed, close the Account Settings window.
Press F9, which will send and receive emails and test if you can receive emails now.

Post back after finishing that.

Since I went there first, I used that and did the following.  When the Explorer window opened, the File name at the bottom appeared to be the correct one. But, I can’t view the entire path so not sure. File list above did NOT contain the path and file I think I’m searching for. Afraid to click Open. Using the Look in box at the top, I navigated to the folder where the correct (I hoped) file is located. Found it there and selected it. It now displays in File name at bottom. Should I click Open or what before closing Explorer window?

I’m sorry. I posted, then realize I didn’t tell you to remove the new copied .pst file from the list (a test of your system) and was afraid it would confuse Outlook. After you move a file you must tell Outlook to connect that account (with the info to download your emails) to the move data file of the same name.

Is this from clicking the OK button on the error message?

What we need is the copied .pst file that is in C:\Users\Don & Lulu\Documents\Outlook Files to be Removed from the list of files on that Data Files tab.

Then when we click the old data file that is in the C:\Users\Don & Lulu\OneDrive\Documents\Outlook Files folder and the error message that comes up saying it could not find this file (because we renamed it). Click the OK button which will open prompts to an explorer window so you can go to C:\Users\Don & Lulu\Documents\Outlook Files and select the .pst file you pasted there.
After the folders display in the left pane, press F9 to see if you receive mail.

Do you think it might be a good idea to start over with a new set of instructions that incorporates the steps in your most recent posts?  If not, then I think you want me to change the default location in Data Files list from the correct location back to the path containing OneDrive and then remove the correct location path as the next steps. Is this correct? If so, I’ll do that and then you can instruct me what to do next.

Sounds like you might have done the correct thing.
Look at the Data Files.
Do you have
emailaddress@verison.net C:\Users\Don & Lulu\Documents\Outlook Files\email address – Outlook (Don).pst
This is your old email address account showing the file location where you copied the .pst to. (where you told it to find it)
Is this correct?

The anonymous  guest was me.

You should be able to receive emails and open folders in that emailaddress@verison account.

If all that is OK :

Check all the folders in the Outlook folders still showing in the left pane.  Once you sure they are clear, you can open the Accounts Settings window to Data Files, record the exact location and name of that Outlook data file, and click the Remove button above to remove the file from the listing and from the left pane.

This should show only your emailaddress@verison account folders.

Let me know when you reach this and we discuss checking those other outlook .pst files for emails.

Sorry, but NO. When I open Outlook, I STILL get the error message that the data file cannot be found. I just don’t understand this at all. It looks like everything is correct but something is still not right. Any additional ideas or things for me to confirm for you?

Exactly which data file does it say it can’t find.  Is it the original emailaddress one that had OneDrive in its Path?

When you click OK to the error message does the explorer window open?

I need to know what files are loading to Outlook now.

Open  the Accounts Settings window.
On the Email tab record the emails listed there But replace the address part before the @ with XXXX
Now select the Data Files tab and record the data files there and their location exactly as shown.

I am concerned about

Did you change the email settings to this new .pst file?

I don’t know which data file it can’t find. The Outlook error doesn’t specify which file it can’t find. I assume that it is the one set as default in the Data Files list: email address at C:\Users\Don & Lulu\Documents\Outlook Files\email address-Outlook (Don).pst.

There is no where to click OK on the error message. The exact message is “! Task ‘email address – Receiving’ reported error (0x8004010F): ‘Outlook data file cannot be accessed.’

I opened the Accounts Settings in Outlook but I don’t see an Email tab there?

Here are the three entries on the Data Files tab:

email address at C:\Users\Don & Lulu\OneDrive\Documents\Outlook Files\email address – Outlook (Don).pst

email address at C:\Users\Don & Lulu\Documents\Outlook Files\email address – Outlook (Don).pst (Set as default)

Outlook at C:\Users\Don & Lulu\Documents\Outlook Files\Outlook.pst.

I hope this provides the info you need. I am wondering if you’d be willing to perform further troubleshooting on the phone? It is REALLY hard and time-consuming doing all this typing and exchanging of posts which are sometimes confusing and/or incomplete. That data file you added and set as default there is preventing the settings in the mail address at C:\Users\Don & Lulu\OneDrive\Documents\Outlook Files\email address – Outlook (Don).pst from moving to that new .pst file.

You said that you could check your email on line. I assume that is the verison.net email address you accidently posted. Check your emails.

I can’t delete a file designated as Default. I guess I need to select one of the other two as default first. Which one?

Make this default

email address at C:\Users\Don & Lulu\OneDrive\Documents\Outlook Files\email address – Outlook (Don).pst

Yes, that was the old default file.

Then Remove

email address at email address at C:\Users\Don & Lulu\Documents\Outlook Files\email address – Outlook (Don).pst

Removing doesn’t delete the file, but closes it. With this file not listed and closed you will be able to select it when the error message appears. Outlook will use all the setting for downloading emails from that old account but now use the file in the new location to store the file. This is why that file you want to move to can not be open and in the list of Data Files in Outlook.

After you Remove that file close and open Outlook which will issue that warning followed by the Explorer open for you to direct it to the folder.
Direct to and choose and Open
C:\Users\Don & Lulu\Documents\Outlook Files\email address – Outlook (Don).pst

This should make that email account work.
Let me know. Have you been able to check emails from this @verison account by going on line?

I used Windows Explorer to search for a file labelled as my email – Outlook (Don).pst and it was not located. Searching Explorer manually, the only place I can locate that file is at This PC\Local Disc (c:)\Users\Don & Lulu\OneDrive\Documents\Outlook Files where we re-named is as “Moved.” Should we try to re-name again by removing “Moved” from the front of the file name so we can somehow make it default and then delete it from ther files list in Outlook?

I am SO confused and frustrated right now that I’m seriously considering just uninstalling Outlook and using AOL for my email. The BIG downside to that however, is I lose my saved Outlook email, many are quite important, and my calendars, which have taken a lot of time and effort to create.

I used Windows Explorer to search for a file labelled as my email – Outlook (Don).pst and it was not located. Searching Explorer manually, the only place I can locate that file is at This PC\Local Disc (c:)\Users\Don & Lulu\OneDrive\Documents\Outlook Files where we re-named is as “Moved.” Should we try to re-name again by removing “Moved” from the front of the file name so we can somehow make it default and then delete it from ther files list in Outlook?

I understand, but I like you to try one more time but before you do copy the path below

C:\Users\Don & Lulu\Documents\Outlook Files

Close and open Outlook.
When the Explorer window opens after the error message. Click whatever is in the Look in box so it is highlighted. While it is highlighted, press Ctrl + V to paste the path you copied above and press the Enter key. This will go to the correct folder with the file you want in the pane below the Look in box.
Select the email address – Outlook (Don).pst file to Open.

If that doesn’t work, go back to that file at C:\Users\Don & Lulu\OneDrive\Documents\Outlook Files\email address – Outlook (Don).pst
and rename removing the Moved part and leaving it name as it was before. It should start working again.

Outlook was closed, so I opened it. When opened, the only error message displayed appears at the very bottom of the screen and is “Send/Receive Error.” Clicking on that results in a box which lists “!Task ’email address – Receiving’ reported error (0x8004010F):Outlook data file cannot be accessed.” There is NO Look in box there.

I’m not sure which error message your talking about. Could it be the one displayed when going to Outlook\File\Account Settings\Account Settings\Data Files when trying to change the default designation to the path containing OneDrive?

This is as far as I got in your instructions.

It appears that after several attempts that Outlook stops presenting the Explorer window to allow you to show where the file is.  I’ve never had to try this many times and usually find the file on the first try which works perfectly in changing the location of the .pst file.

The best thing to do now is to go back to that original file that we renamed by adding Moved to the name and remove the Moved part so the name is the same that it used to be.  You should be able to download emails again.  That’s why I had you copy the file rather than move the file.

Here is a little tip to help.  The windows Explorer opens to Open or Save files are small.  After the window is open, place the pointer on the right bottom corner of that small window.  The pointer will turn into a double arrow line indicating you are on the right spot.  Press and hold the left mouse button as you drag the mouse diagonally toward the bottom right corner of the screen.   This will enlarge the small window and make it easier to see the  files in the Explorer window.  Release the button when the window is large enough for you.

The idea of reverting back to the “Moved” file seems to be a good one. I had actually thought of that myself last evening. I just need to make sure I perform the correct steps in proper order to be successful, so I’d like to keep working with you step-by-step.

Step 1. Using Explorer, go to the folder location of the “Moved” file and rename Moved email address – Outlook (Don).pst by removing the leading word Moved. Here’s where a question arises. In Explorer, the file to be renamed is at two locations: This PC\Documents\Outlook Files and This PC\Local Drive (C:)\Users\Don & Lulu\OneDrive\Documents\Outlook Files. Which one should I use? FYI, my wife’s Outlook is working using the same OneDrive path as mine as shown above. Should I be consistent and try to use the same?

After this is determined and the file is re-named, we have to determine how to get this location into the Data Files list. None of the current entries for my account are correct.

We are going to set it up like it was.

Step 1) Correct, rename by removing the Moved part of the name.

The one that we renamed was the one at This PC\Local Drive (C:)\Users\Don & Lulu\OneDrive\Documents\Outlook Files location, the one at This PC\Documents\Outlook Files was the copy we made so don’t use it. Don’t worry about that “same” file in two location. What matters is you rename the one that we added the Moved to its name and don’t do anything else.

The account email address at C:\Users\Don & Lulu\OneDrive\Documents\Outlook Files\email address – Outlook (Don).pst should still be in the Data Files list and thus, no other Data Files need to be added. This is the file that you were originally using and the error message relates to this file. This error occurs because we renamed that file and Outlook looks for the exact location and name of the file for that account and since we renamed it Outlook can’t find it. By changing the name back to what it was Outlook will find it and use that to receive emails.

That means:
Rename that file by removing the Moved part we added. Be careful and make sure to only remove the Moved part so the name is complete and exactly as it is in Outlook….email address – Outlook (Don).pst
Do nothing else and don’t add any Data files to Outlook.
When you open Outlook the error message should be gone.

Why did you remove the space?  A space is part of the name and by removing it it is not the same name that it was.  That file’s name has to be exactly like it was and exactly like it is listed in the Data Files Location for that account.  You need to go back to that file and replace the space you took out of the name.

Outlook will not download emails to that account unless you have the name of that file EXACTLY (spaces or any other characters you had in that name).  When the name is correct Outlook will connect to that file.  According to your post the name for that file should be:

email address – Outlook (Don).pst

With your actual email address above replacing the email address in the name above.

OK, then the space was added when you added Moved, so it needed to be removed too.

Yes, make the email address account to that file that we renamed that has OneDrive in its path location as the default.

Try again after that.

If you still get an error.  Post back what Data Files you have listed now.  Also click the tab to the left of the Data Tab in that Accounts Settings window which is labeled Email.  Tell me what’s listed there (replace email address for your real email address) and what is labeled as default

You are NOT going to believe this…I can now send and receive email in Outlook! When I first tried to just change the proper path to make it the default, it didn’t work. Got error message that file couldn’t be located. So, I tried Adding a new entry to the Data Files list, eventually navigating to the correct file in the correct location. I selected it and clicked a box at the bottom, not sure what it said. Then I think I was returned to the Data files list, and found the correct path. It was either already designated default or I changed it. Can’t remember… Bingo! Messages started arriving. I still have these problems below to solve, but the BIG one is fixed:

1. Handling the original issue of having two folder lists in Outlook. Want to delete the one no longer in use.
2. Getting rid of all the unneeded .pst files from numerous folders.
3. Deleting unused items from the Data Files list.
4. Trying to recover my calendars which are no longer available in Outlook. This is a pretty BIG one.
5. Deleting the folders Outlook Files #2 in at least two folders lists in Explorer.
6. Addressing some of these same issues with my wife’s Outlook account.

I recommend we close this extremely extensive thread as completed and start new ones, one at a time, to address these remaining problems. Is this acceptable to you and, if so, are you willing to watch for them to be posted and continuing helping me?

You have been a GREAT assistance to me and I REALLY appreciate your patience!

If you’d like this long thread closed off, all you need to do is to add a reply, and at the top of the reply box there’s a drop-down box with a sentence right above it in bold lettering that says “If your question has been resolved…”. Click that drop-down box and select “RESOLVED” in that box and then submit your reply.

You do have to have some text in the main text box for the reply to post, however.  🙂
